Zoom Integration Guide

HelloClinic's Zoom integration allows clinics to schedule telemedicine consultations directly within the system. With this feature, you can automatically generate Zoom meeting links and seamlessly sync consultation records with the medical record system.

1. Prerequisites

In order to start, please ensure you have:

  • A valid HelloClinic account (Admin or Doctor privileges).
  • A Zoom account (Free or Paid version, each Zoom account can only be connected to one HelloClinic account).

2. Installation

Choose one of the following methods to connect your Zoom account:

  1. Log in to your HelloClinic account and go to Profile.
  2. Click Connect under the Connect section.
  3. An authorization screen will appear; review the permissions and click Authorize.
  4. Once complete, the page will automatically redirect back to the HelloClinic dashboard, indicating the connection is successful.

OR

  1. Log in to your Zoom account and navigate to the Zoom App Marketplace.
  2. Search for "HelloClinic" in the search bar.
  3. Locate the HelloClinic app and click the Add button.
  4. An authorization window will pop up; confirm the permissions and click Authorize.
  5. After authorization, the page will redirect back to the HelloClinic dashboard, signifying a successful connection.

3. Usage

Create Telemedicine Consultation:

  1. Log in to the HelloClinic dashboard.
  2. Go to the Appointments page.
  3. Add a new appointment and select Telemedicine (Zoom) as the appointment type.
  4. The system will automatically generate a unique Zoom meeting link for the appointment and send it via WhatsApp.
  5. When the appointment time arrives, the doctor simply needs to click Start Meeting in the dashboard to launch Zoom for the consultation.

4. Uninstallation

If you no longer need to use this feature, you can disconnect at any time:

  1. Log in to your Zoom account and go to the Zoom App Marketplace.
  2. Click Manage > Added Apps in the top right corner.
  3. Find HelloClinic and click the Remove button next to it.

Alternatively, you can click Disconnect on the Profile page in the HelloClinic management dashboard.

5. Data Retention

  • Data Usage: HelloClinic only uses your Zoom authorization to create meetings and retrieve meeting duration records. We NEVER access or record your video and call content.
  • Data Deletion: When you remove the app, the system will immediately delete all Zoom-related connection tokens. Historical consultation duration records will be retained in the clinic system for medical compliance inquiries but will no longer be linked to your Zoom account.
