Queue Calling
This document details the Queue Calling feature found under Settings in your HelloClinic system. This page allows you to customize your clinic's automated voice calling content to improve efficiency and patient experience in the waiting area.
Feature Overview
The Queue Calling settings feature allows you to create multilingual voice announcement templates (Cantonese, English, Mandarin) for your clinic's queuing system. When a doctor is ready to see the next patient, the system will automatically generate and play a voice announcement based on the template you've set here, calling the patient to the designated consultation room or department.
The main purposes of this feature are:
- Improve Efficiency: Automate the calling process, reducing the need for manual calls.
- Ensure Clarity: Clearly guide patients with standardized voice announcements.
- Support Diversity: Offer multiple language options to accommodate patients from different backgrounds.
Main Interface Description

1. Available Variables
At the very top of the page, the system lists all "variables" that can be used in your calling templates. These variables are dynamic placeholders that the system will automatically replace with real data during an actual call.
{PatientName}: Will be replaced with the patient's name.{DoctorName}: Will be replaced with the doctor's name.{Department}: Will be replaced with the department name (e.g., Consultation Room One).{DepartmentLocation}: Will be replaced with the department's location (e.g., Turn left at the end of the corridor).
2. Announcement Templates
You can set up calling content separately for different languages.
- Language Fields (Cantonese / English / Mandarin): In the input box for the corresponding language, you can freely compose your calling sentence.
Play Test: Next to each input box, there's a play test button. Click it to preview the voice effect generated by the current template, ensuring fluidity and accuracy.
3. Save Changes
Save ChangesButton: Located in the top right corner of the page. After you've finished editing all templates, you must click this button for your settings to be saved and take effect.
Main Operation Workflow: How to Set Up Queue Calling Voice Announcements
- First, carefully read the "Available Variables" at the top of the page to understand what information you can automatically embed.
- In the input box for the language you want to set (e.g., "Cantonese"), begin composing your calling sentence.
- Where you need to insert dynamic information, directly click the "Available Variables" button above. The system will automatically insert that variable (e.g.,
{PatientName}) into your sentence.- Example:

- Example:
- After composing the sentence, click the [▷ Play Test] button to listen to a preview.
- Based on the preview, you can modify the sentence content as needed until you are satisfied.
- Repeat the above steps for all required languages.
- Once all settings are complete, make sure to click the [Save Changes] button in the top right corner to save your configuration.
