This document aims to detail the Finance Report feature under the Report & Analytics module in your HelloClinic system. This page is an integrated dashboard that visually presents your clinic's financial status through charts, helping you make more informed business decisions.
Feature Overview
The Finance Report is your clinic's operational dashboard. It aggregates all accounting data from the Invoices module and transforms it into easy-to-understand charts and figures. Through this report, you can:
- Gain a macro understanding of financial status: Quickly grasp total revenue, collections, and outstanding amounts for a specific period.
- Insights into revenue structure: Analyze the proportion of revenue from different business sources (e.g., drugs, services, laboratory tests).
- Track operational trends: Observe fluctuations in revenue and collections through time-trend charts.
- Identify high-value items: Discover popular services and drugs that generate the most revenue for the clinic.
Main Dashboard Feature Description
All data in the entire report updates in real-time based on the time range you select in the top right corner.
1. Period Filter
- Year and Month Selection: You can select the year and month you wish to analyze using the dropdown menus in the top right corner of the page. All charts and data on the page will be presented according to your selected period.
2. Financial Summary
The top of the dashboard provides four key financial metric cards, giving you a quick overview of performance for the selected period.
- Total Revenue: The total amount of all invoices issued within the selected period.
- Paid Amount: The total amount actually paid by patients within the selected period.
- Outstanding: Accounts receivable that have not yet been paid within the selected period.
- Collection Rate: The percentage of paid amount to total revenue (
Paid Amount / Total Revenue), a crucial indicator for financial health.
3. Chart Analysis Area
Revenue by Category
- This chart (usually a pie chart) shows the distribution of revenue across different business categories. You can clearly see how much revenue Prescription Drugs, Services, and Laboratory Tests each contributed.
Payment Methods
- This chart analyzes the proportion of different payment methods used for collections (e.g., cash, credit card, bank transfer), helping you understand patient payment preferences.
Monthly Trend
- This is a line chart showing the daily trend of Total Revenue and Paid Amount within the selected month. You can use this chart to observe revenue peaks or troughs on specific dates.
Top Services
- This chart ranks the service items that generated the most revenue for the clinic within the selected period. You can use this to understand which consultations or services are most popular or valuable.
Top Drugs
- Similar to top services, this chart ranks the prescription drugs that generated the most revenue, which is helpful for drug inventory and procurement strategies.
How to Use This Report
- First, select the year and month you wish to analyze in the top right corner.
- Review the four Financial Summary cards at the top to get an initial impression of that month's performance.
- Analyze the Revenue by Category chart to understand the main revenue sources.
- Observe the Monthly Trend chart to see if there are specific date or weekly patterns (e.g., higher revenue before weekends).
- Examine the Top Services and Top Drugs lists to support your marketing or cost-benefit analysis.
