Charge Items

This document details the Charge Items feature found under Settings in your HelloClinic system. This page is your clinic's service price list management center, used for creating all non-physical inventory charge services.

Feature Overview

The Charge Items feature allows you to create a standardized master price list for services. Unlike modules with inventory or specific attributes (like "Drugs," "Supplies," or "Laboratory Services"), this is specifically designed to manage various services or administrative fees offered by your clinic.

This feature is suitable for creating, for example:

  • Consultation Fees: Such as "Initial Consultation Fee" or "Follow-up Consultation Fee."
  • Treatment/Procedure Fees: Such as "Wound Cleaning Fee," "Injection Fee," "Physical Therapy."
  • Administrative Fees: Such as "Medical Report Photocopy Fee," "Insurance Form Completion Fee."
  • Other miscellaneous charges.

Charge items created here can be quickly selected during Checkout and added to a patient's bill, standardizing and streamlining your billing process.

Main Interface Description

The main interface is divided into a "Background List" and a "Create Charge Item" window that pops up when you click "+ Create Charge Item."

1. Charge Item List and Filters

This is where you manage all your established charge services.

  • Filter and Search:
    • Search: Enter keywords for the item name to quickly find specific items.
    • Only Active: When this toggle is enabled, the list will only display items that are in an Active status, allowing you to hide deactivated or obsolete charge items from daily operations.
  • Add Item Button:
    • [+ Create Charge Item]: Located in the top right corner of the page, click this button to add a new service to your price list.
  • List Fields:
Field NameEnglish NameDescription

價格PriceThe fee charged to the patient for this item.
狀態StatusShows whether the item is Active or Inactive.
操作ActionsOperations that can be performed on the item (e.g., edit, delete).

After clicking the [+ Create Charge Item] button, this form will pop up for you to define the attributes of your new service.

Main Operation Workflow

How to Add a New Charge Item?

  1. On the "Charge Items" main page, click the [+ Create Charge Item] button in the top right corner.

  2. The "Create Charge Item" form window will appear.

  3. Please fill in the following fields:

    • Name (Required): Enter a clear and understandable service name, e.g., "General Consultation Fee."
    • Price (Required): Enter the fee amount for this service.
    • Status: Defaults to active (toggle will be blue). If you temporarily don't offer this service but want to retain the record, you can turn it off. Only active items can be selected during checkout.
  4. After filling in all the information, click the [Create] button in the bottom right corner.

How to Use Charge Items?

  1. Pre-configuration: First, establish all your clinic's service-based charge items on this page.
  2. Checkout Application: When a patient is ready to pay at the counter, the staff responsible for checkout in the Checkout module can quickly select the services included in the current visit from a list (e.g., "General Consultation Fee" and "Wound Cleaning Fee"). The system will automatically add them and their corresponding prices to the final bill.
