This document details HelloClinic's subscription policy and management process, covering free trials, how to change your subscription plan, and other common subscription-related questions.

1. Free Trial

We truly believe that hands-on experience is the best way to understand HelloClinic's powerful features. That's why we offer all newly registered clinics a 14-day, full-feature free trial.

During your 14-day free trial, you can:

  • Access without limits: Experience all features of your chosen trial plan (e.g., Pro or Enterprise) without any hidden restrictions.
  • Operate with real data: You can input real patient data, drug inventory, create appointments, and more, to see how the system performs within your actual workflow.
  • No payment information required: Starting the free trial is completely free, and we won't ask for any credit card information upfront.

What happens after the trial period ends?

  • The system will remind you via email before your trial period expires.
  • If you decide to continue using HelloClinic, you can select a paid plan and enter your payment information anytime on the Subscription page. All your data will seamlessly carry over.
  • If you decide not to continue, no action is needed. Your account will be frozen after the trial period ends, and we will securely delete all your data after a certain period.

2. Changing Your Plan

We understand that clinic needs evolve with business growth. HelloClinic offers you the flexibility to upgrade or downgrade your subscription plan at any time.

Operation Process

  1. Go to the "Subscription" page:

    • Log in to your HelloClinic administrator account.
    • In the left navigation bar, find and click on Subscription under the Settings category.
  2. Browse available plans:

    • Locate the Available Plans section on the page.
    • You can switch between Monthly and Yearly to see how different plans are priced across different billing cycles.
  3. Execute the change:

    • Upgrading your plan: Find the higher-tier plan you wish to upgrade to and click its [Switch Plan] button. Upgrades typically take effect immediately, and the system will pro-rate the difference based on the remaining value of your current plan and charge you accordingly.
    • Downgrading your plan: Find the lower-tier plan you wish to downgrade to and click its [Switch Plan] button. Downgrades typically take effect after your current subscription cycle ends. For example, if you are on a monthly subscription and request a downgrade on the 15th of the current month, your new plan will officially take effect on your next renewal date.

3. Other Common Subscription Questions

Is my payment secure?

Absolutely. We use Stripe, a world-leading payment platform, to process all payments. Your credit card information is encrypted and handled directly by Stripe, and HelloClinic does not store any sensitive payment data.

How do I cancel my subscription?

You can cancel your subscription at any time. Go to the Subscription page and click the [Cancel Subscription] button in the Current Plan section. Your cancellation request will take effect at the end of your current billing cycle, and no further charges will be applied. You can continue to use all features until the end of that cycle.

What's the difference between annual and monthly subscriptions?

  • Yearly: You pay for a full year upfront, usually receiving a significant discount (e.g., equivalent to paying for only 10 months). This is suitable for clinics planning long-term, stable use.
  • Monthly: You pay month-to-month, offering greater flexibility.

What happens if my usage exceeds the plan limits?

If your usage (e.g., user count, storage space) is approaching your plan's limits, the system will notify you in advance. At that point, you can choose to upgrade to a higher-tier plan for increased resource limits or contact us to discuss a customized solution.

How do I get my bills or receipts?

You can go to the Subscription page and click the [Billing Portal] button. In the customer portal managed by Stripe, you can view and download detailed receipts for all your historical payments.
