Drug Expiry Management

This document explains the Expiry management feature under the "Drugs" module in the HelloClinic system. This page is your central dashboard for monitoring and managing drugs that are nearing or have passed their expiration dates, which is crucial for ensuring medication safety and reducing inventory loss.

Feature Overview

The "Expiry" management page automatically aggregates all drug batches in stock that are nearing or have already passed their expiration date. The system displays drugs on this list in advance, based on the Expiry Date recorded during Stock In, allowing you to take timely action. The main goals are to help you:

• Proactive Management: Prioritize the use of drugs nearing expiration or consider other handling methods before they fully expire.
• Ensure Safety: Promptly handle expired drugs to prevent them from being accidentally dispensed to patients.
• Accurate Inventory: Correctly record disposed drugs to ensure the accuracy of inventory data.

Main Interface Features

This page primarily consists of an "Expiry List" that clearly displays all drug batches requiring your attention.

Expiry List

Each row in the list represents a specific drug batch that needs to be managed.

Field Name	English Name	Description
藥物	Drug	The name of the drug nearing expiry.
批號	Batch Number	The specific batch number of the drug. Different batch numbers of the same drug will have different expiry dates.
有效期限	Expiry Date	The expiration date for this batch of drugs.
入庫總量	Total Quantity	The total quantity of this batch when it was initially stocked in.
剩餘數量	Left Quantity	The remaining quantity of this batch in stock as of now, which is the quantity that needs to be handled.
狀態通知	Notification	System-generated alert messages, e.g., "Expiring in 1 days."
操作	(Action)	[Dispose]: The execution button to handle this batch of drugs.

Main Operation Workflow

1. Regular Monitoring

It is recommended that clinic managers or drug management personnel regularly check this page for new drugs appearing on the list. The system will automatically display drugs here based on the preset alert days (e.g., 30 days before expiry).

2. Handling and Disposing of Expired Drugs

When you confirm that a batch of drugs needs to be handled (e.g., it has expired or is about to expire and will no longer be used), please follow these steps:

1. Locate the drug batch you want to handle in the list.
2. From the clinic's physical drug cabinet, accurately identify and retrieve that batch of drugs based on the Drug Name and Batch Number.
3. On this page in the HelloClinic system, click the red [Dispose] button on the far right of the item.
4. The system may pop up a confirmation window, asking you to reconfirm if you want to dispose of the inventory record for this batch of drugs. (This is a standard safety procedure.)
5. After confirmation, the system will:
   • Remove this record from the "Expiry" list.
   • Deduct the Left Quantity of this batch from the main "Inventory" to complete the inventory write-off.

Through this process, you can ensure consistency between system inventory and physical inventory, and fully record the lifecycle of all drugs.
