🚀 Quick Start Guide

👋 Welcome to HelloClinic! We're honored to be your clinic's smart partner. This guide will help you easily set up and master the core daily consultation workflows, enabling you and your team to get up and running quickly and embark on a new chapter of smart clinic management.

🎯 Before you begin, please ensure you've registered an account with HelloClinic and chosen the subscription plan that best fits your needs.

Part One: First-Time Setup ⚙️

Before welcoming your first patient, let's complete these essential settings to build your clinic's perfect digital foundation.

1. Set Up Clinic Information 🏥

Go to the Settings > Clinics page. Here, you can edit existing clinic details or add a new clinic. We recommend filling in all fields comprehensively, including clinic name, address, contact number, and other important information. This data will not only be used for appointment reminders and printed documents but will also help the AI assistant provide more accurate service support.

2. Set Up Employee Permissions 🔐

To ensure data security and clear work distribution, please go to the Settings > Permissions page. You can create different permission groups based on job roles (e.g., Doctors, Nurses, Finance, Customer Service, etc.) and configure the scope of functions each group can access.

3. Invite Employees 👥

Once permissions are set, head over to the Settings > Employees page to invite your team members. Simply enter their email address and assign them to the corresponding clinic(s) and the permission group you just set up.

4. Add Receiving Accounts 💳

For precise financial management, please go to the Settings > Receiving Accounts page. You can add various payment methods, such as Cash, Credit Card, Octopus, FPS (Faster Payment System), and more, making collection and reconciliation much more convenient.

5. Add Charge Items 💰

Navigate to the Settings > Charge Items page to create all the services and products your clinic offers, such as consultation fees, counseling fees, specific medications, injection fees, etc. This allows for quick and accurate billing at checkout.

6. Set Up Printing Templates 📄

Finally, go to the Settings > Printing Templates page. You can customize the format of various documents, including sick leave certificates, receipts, and invoices, and add your clinic's logo and signature to project a professional image.


Part Two: Daily Consultation Workflow 🏥

With the above settings complete, your smart clinic is ready to go! Here's a guide to the full consultation workflow:

1. Add Appointments (Nurse/Receptionist) 📅

Nurses or front desk staff can easily schedule appointments on the Clinic > Appointments page. The system will automatically send helpful reminders, effectively reducing no-show rates.

2. Patient Sign-In ✍️

When a patient arrives at the clinic, simply click the corresponding patient's Sign In button in the appointment list. The patient's status will update automatically, and they will enter the doctor's waiting queue.

3. Doctor Consultation (Doctor) 👨‍⚕️

Doctors can view all waiting patients who have signed in on the Clinic > Consultation page. After clicking Start, you can:

  • 📝 Record the patient's chief complaint and Electronic Medical Record (EMR)
  • 💊 Issue electronic prescriptions
  • 🔬 Arrange laboratory or imaging tests
  • 📁 Upload relevant medical documents

Once the consultation is complete, click the Complete button, and the patient's record will automatically move to the pending checkout list.

4. Checkout and Payment Collection (Nurse/Receptionist) 💵

On the Clinic > Checkout page, nurses or front desk staff can:

  • 🧾 Add charge items to the patient's bill
  • 💊 Verify medications and dispense them
  • 🖨️ Print receipts or invoices
  • 💰 Complete the payment collection process
